WorkLogix is an offline-first work logbook for iPhone, designed for safety checks, maintenance jobs, incidents, audits, and daily work notes.

Everything you record stays on your device unless you choose to export, back up, or share it.

Quick Start
  1. Open WorkLogix on your iPhone.
  2. On first launch, tap Get Started.
  3. Tap the + button in the Logbook to create a new entry.
  4. Choose an entry type: Safety CheckMaintenanceIncidentAudit, or General.
  5. Add the details you need, such as notes, photos, voice notes, location, tags, or a signature.
  6. Tap Save.

Your entry will appear in your Logbook, grouped by date.

You can save an entry once it includes at least one of the following: a title, notes, photo, voice note, or signature.


Frequently Asked Questions
Where is my data stored?

Your data is stored on your device only.

WorkLogix does not use a server, account system, cloud database, analytics platform, or tracking service. We do not see, collect, or store your logbook entries.

If iCloud Backup is enabled on your iPhone, Apple may include WorkLogix data in your normal device backup. This is handled by Apple through iOS. WorkLogix does not access or control your iCloud backups.


How do I back up my logbook?

WorkLogix supports two backup options.

iCloud Backup

If iCloud Backup is enabled in iOS, your WorkLogix data can be included as part of your normal iPhone backup.

Go to:

Settings → [Your Name] → iCloud → iCloud Backup

Manual Export Backup

You can also create a manual backup file inside WorkLogix.

Go to:

WorkLogix → Settings → Data → Export Backup

This creates a .worklogix-backup file that you can save to Files, iCloud Drive, AirDrop, or email to yourself.

We recommend exporting a backup before changing devices, deleting data, or making major changes to your logbook.


How do I restore from a backup?

Go to:

WorkLogix → Settings → Data → Restore from Backup

Select your .worklogix-backup file.

WorkLogix will show a preview before restoring, including entry count and included items such as photos and signatures.


How do I move WorkLogix to a new iPhone?

There are two ways to move your data.

If you restore your new iPhone from an iCloud Backup, WorkLogix data should restore automatically as part of the normal iOS device restore process.

Alternatively, you can manually export a backup from your old iPhone:

WorkLogix → Settings → Data → Export Backup

Then transfer the .worklogix-backup file to your new iPhone using AirDrop, iCloud Drive, Files, or email.

On the new iPhone, install WorkLogix and go to:

Settings → Data → Restore from Backup


How do I export a PDF report?

To export a full PDF report, go to:

WorkLogix → Settings → Data → Export PDF Report

You can export a standard report, or if AI is enabled, a report with an optional AI-generated executive summary.

To export a PDF for a single entry:

Open the entry → tap the share icon → Export PDF


How do I export to CSV?

Go to:

WorkLogix → Settings → Data → Export CSV

CSV files can be opened in Excel, Apple Numbers, Google Sheets, and most spreadsheet apps.

The export includes entry details, entry types, tags, notes, type-specific fields, and basic attachment indicators.


Why can’t I save my entry?

WorkLogix prevents completely blank entries from being saved.

An entry must include at least one of the following:

  • Title
  • Notes
  • Photo
  • Voice note
  • Signature

If you are not ready to publish the entry, use Save as Draft instead.


What are drafts?

Drafts are unfinished entries that have not yet been published to your main Logbook.

Drafts appear in a separate Drafts section at the top of the Logbook.

Drafts are not included in reports or counts until you publish them.


How do recurring entries work?

When you set a recurring schedule on an entry, WorkLogix automatically creates the next occurrence based on the due date.

Supported recurrence options include:

  • Daily
  • Weekly
  • Fortnightly
  • Monthly
  • Quarterly
  • Annual

You can edit or end a recurrence by opening the entry.


What does the AI Assistant do?

The AI Assistant is completely optional.

If you choose to enable it, you can enter your own OpenAI API key in:

Settings → AI Assistant

AI features may include:

  • Drafting an entry from a short prompt
  • Suggesting corrective actions for incident entries
  • Generating an executive summary for PDF reports

AI requests are sent directly from your device to OpenAI using your own API key. WorkLogix does not see, store, or proxy those requests.

Your API key is stored securely in the iOS Keychain.

The rest of WorkLogix works without AI.


Where do I get an OpenAI API key?

You can create an API key through OpenAI’s platform.

Go to:

Create an account, open the API Keys section, generate a new key, and paste it into:

WorkLogix → Settings → AI Assistant

OpenAI may charge your OpenAI account based on usage. WorkLogix does not control OpenAI billing.


Are signatures legally binding?

WorkLogix can store signatures with supporting metadata such as signer name, role, timestamp, and signature data.

However, whether a signature is legally binding depends on your jurisdiction, industry, workplace policy, and the legal framework that applies to your situation.

WorkLogix is designed to support good record-keeping, but it does not certify signatures as legally compliant under any specific scheme.

For legal or regulatory use, seek advice from a qualified professional.


Is WorkLogix a certified compliance product?

No.

WorkLogix is a record-keeping tool designed to support workplace documentation and compliance workflows.

It may help with safety checks, maintenance records, incident logs, audits, and similar documentation, but it is not certified under any specific compliance regime.

You are responsible for confirming that your records meet the requirements of your workplace, industry, regulator, or legal obligations.


Is there a subscription?

No.

WorkLogix is a one-time purchase.

There is no subscription required to use the current feature set.

Maintenance updates may include iOS compatibility improvements, bug fixes, security improvements, schema updates, OpenAI model compatibility updates, and small refinements.


How do I permanently delete everything?

Go to:

WorkLogix → Settings → Erase All Data

This is located under the Danger Zone section.

You will be asked to confirm before deletion.

This permanently deletes your entries, drafts, photos, signatures, voice notes, tags, templates, and settings.

This cannot be undone. Export a backup first if you may need the data later.


Can I lock WorkLogix with Face ID or Touch ID?

Yes.

Go to:

WorkLogix → Settings → App Lock

You can enable Face ID or Touch ID and configure idle-time locking so the app locks automatically after being in the background.


Troubleshooting
Photos, voice notes, signatures, or location are not working

iOS controls these features through app permissions.

Go to:

iPhone Settings → WorkLogix

Check that the required permissions are enabled, such as:

  • Camera
  • Microphone
  • Photos
  • Location
  • Face ID

Location should usually be set to While Using the App.

If a permission is denied, WorkLogix will show an in-app message explaining what is needed.


WorkLogix will not open or crashes on launch

Try the following steps:

  1. Force-quit WorkLogix.
  2. Restart your iPhone.
  3. Open WorkLogix again.

If the issue continues, email us with:

  • Your iPhone model
  • iOS version
  • WorkLogix app version
  • A short description of what happened

My logbook looks empty after moving to a new iPhone

This usually happens when the new iPhone was set up as a fresh device instead of being restored from an iCloud Backup.

Re-downloading WorkLogix from the App Store does not automatically bring back local app data.

To restore your logbook, either:

  • Restore the new iPhone from an iCloud Backup, or
  • Use a .worklogix-backup file created from your old device

PDF or CSV export will not save or share

Try these steps:

  1. Check available storage:
    Settings → General → iPhone Storage
  2. Try a different share destination.
  3. If saving to Files, confirm the destination folder allows writing.
  4. Try restarting your iPhone and exporting again.

The AI Assistant returns an error

Check the following:

  1. Your iPhone has internet access.
  2. Your OpenAI API key is still valid.
  3. Your OpenAI account has available credit or billing enabled.
  4. Try again later if the error appears temporary.

AI features depend on OpenAI availability and your own OpenAI account settings.


Search is not finding an entry

WorkLogix searches entry titles, notes, and tag names.

Try using a shorter or more specific search term.

For example, instead of searching a full sentence, search for a unique keyword, job name, location, tag, or incident type.


My exported PDF looked wrong on an older version

PDF rendering has been improved to work independently of the selected device theme.

If an older export looked incorrect, update WorkLogix to the latest version and export the report again.


Compatibility

WorkLogix requires:

  • iPhone
  • iOS 17.0 or later

WorkLogix works fully offline.

Only optional AI features require an internet connection.

Storage usage depends on how many photos, voice notes, and attachments you add. You can review storage information inside the app under:

Settings → Manage → Storage


Privacy

WorkLogix is built around privacy-first, offline-first record keeping.

We do not collect, transmit, sell, or share your data.

There are:

  • No accounts
  • No logins
  • No cloud database
  • No advertising
  • No analytics tracking
  • No third-party tracking SDKs

Your entries stay on your device unless you choose to export, back up, or share them.

Updates

WorkLogix updates are delivered through the Apple App Store.

Release notes explain what has changed in each version.

WorkLogix does not silently push feature changes outside of normal App Store updates.
